Ascencia Services Inc.
Privacy Policy
This Privacy Policy explains how Ascencia Services Inc. ("Ascencia," "we," "us," or "our"), registered at 2275 Upper Middle Road East, Suite 101, Oakville, Ontario, L6H 0C3, Canada, collects, uses, discloses, and protects personal information when you visit our website, submit a form, book a call, purchase an event ticket, or otherwise use our services (the "Services"). This Policy is incorporated by reference into our Terms & Conditions.
1. Information We Collect
1.1 Information you provide directly
- Intake form: name, contact details, country/location, and details about your circumstances and goals, submitted in a multi-step form. If you do not finish the form, we save your partial answers keyed to your email address so you can resume later.
- Contact form and partner inquiry form: name, organization (where applicable), contact details, country, and the content of your message.
- Booking a call: your selected time slot and time zone, and any scheduling details needed to confirm the call.
- Opportunity Digest subscription: email address and, optionally, country. This is a separate, lighter-weight signup from the intake form and is used only for the newsletter, not for service delivery.
- Event registration: name, contact details, and payment information needed to issue a ticket, plus your time zone for virtual events.
- Anything you tell a guide directly during a call, to the extent Ascencia retains notes from that conversation.
1.2 Information collected automatically
- Standard technical data such as IP address, browser and device type, pages visited, and referring URL, typically through cookies or similar technologies.
- Approximate location or time zone, used to route you to the right scheduling options and to support the site's no geo restriction design.
1.3 Information from third parties
If a community partner, corporate partner, or sponsor refers you to Ascencia, we may receive limited contact information from them so we can follow up. We do not purchase personal information about you from data brokers.
2. How We Use Your Information
- To review your intake, match you with a guide, and schedule and conduct your call.
- To confirm services, pricing, and any add-ons after your call, and to deliver the services you have engaged.
- To process event ticket purchases, send confirmations, and provide venue or virtual meeting details.
- To send the Opportunity Digest and event announcements to subscribers who opted in, and to send a resume link email if you abandon an in-progress intake form.
- To respond to contact form and partner inquiry submissions.
- To maintain the security, performance, and legal compliance of the Services.
- To detect your time zone and, where relevant, currency display, so the site functions correctly wherever you are located.
We do not use your intake information to make automated decisions that produce legal or similarly significant effects about you without human review; a guide reviews every intake before any service is confirmed.
3. Who We Share Information With
- Your assigned Ascencia guide, so they can review your intake and prepare for your call.
- Service providers who help us operate the Services, such as scheduling tools, payment processors, email and newsletter platforms (for example Mailchimp or ConvertKit), and hosting providers. These providers may only use your information to perform services for Ascencia.
- Guest speakers are not given access to your intake or contact information unless you separately register for an event they are running and that registration requires it; guest speakers are independent third parties, not Ascencia staff, and any information you give them directly is subject to their own privacy practices, not this Policy.
- Professional advisors, regulators, or courts, where required to comply with law, respond to a valid legal process, or protect the rights, safety, or property of Ascencia, our guides, or others.
- A successor entity in the event of a merger, acquisition, or sale of assets, subject to this Policy or a materially similar one.
We do not sell your personal information.
4. Sensitive Information You Choose to Share
Because Ascencia supports people through difficult life transitions, your intake or a call with a guide may involve sensitive details about your health, finances, immigration status, or relationships. We collect this information only to the extent you choose to share it, use it only to provide the Services, and apply additional care in how it is stored and who within Ascencia can access it. Remember that Ascencia guides are coaches and mentors, not licensed clinicians, lawyers, or financial advisors, so please avoid sharing more sensitive detail than necessary for the support you are seeking.
5. International Users and Cross-Border Transfers
Ascencia has no geographic restrictions and accepts intake, contact, and partner submissions from any country. Because Ascencia is based in Ontario, Canada, and uses service providers that may operate internationally, your information may be stored or processed in Canada, the United States, or other countries whose data protection laws may differ from those in your home country. Where required by law, we take steps intended to provide an appropriate level of protection for information transferred across borders.
6. Data Retention
- Intake form submissions, including abandoned partial submissions, are retained for as long as needed to deliver services or, if abandoned, for a limited period to allow you to resume before being deleted.
- Records of confirmed engagements are retained as needed for service delivery, accounting, and legal or tax obligations.
- Opportunity Digest subscriber information is retained until you unsubscribe.
- Event registration and payment records are retained as needed for fulfillment, refunds, and financial recordkeeping.
7. Your Choices and Rights
- Unsubscribe from the Opportunity Digest at any time using the link in any email.
- Request access to, correction of, or deletion of your personal information, subject to our need to retain records for legal, contractual, or legitimate business purposes.
- Withdraw consent for uses based on consent, such as marketing emails, without affecting the lawfulness of processing before withdrawal.
- Depending on where you live, you may have additional rights under local law (for example, rights under PIPEDA in Canada or similar laws elsewhere), including the right to lodge a complaint with a data protection authority.
To exercise any of these choices, contact us at info@ascenciaservices.com.
8. Cookies and Similar Technologies
The Services use cookies and similar technologies to keep the site functioning (for example, remembering a partially completed intake form), understand site usage, and detect your approximate time zone for scheduling. You can control cookies through your browser settings; disabling certain cookies may affect features such as save and resume on the intake form.
9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Children
The Services are not directed to individuals under 18, and we do not knowingly collect personal information from children. If we learn we have collected information from someone under 18 without appropriate consent, we will take steps to delete it.
11. Third-Party Links
The Services may link to third-party websites, community partners, or crisis resources. This Policy does not apply to those third parties, and we encourage you to review their privacy practices separately.
12. Changes to This Policy
We may update this Policy from time to time. The "Last updated" date will reflect the most recent version, and material changes will be communicated where appropriate, such as by notice on the site or by email to active subscribers.
